freightOptIQ ("we", "our", "us") operates the freight document automation platform available at freightoptiq.com. This Privacy Policy explains how we collect, use, and protect your information when you use our service.
By using freightOptIQ, you agree to the collection and use of information as described in this policy.
2. Information We Collect
Account information
When you sign up, we collect your name, email address, and company name via Google or Microsoft OAuth. We do not store passwords — authentication is handled entirely by Google or Microsoft.
Freight documents
When you connect your email inbox or upload documents, we process the content of those emails and files to extract freight data. This includes rate confirmations, invoices, bills of lading, and similar logistics documents. We store the extracted structured data (carrier names, load numbers, rates, dates) in your account.
Email access
If you connect Gmail or Outlook, we request read-only access to scan your inbox for freight documents. We use the Gmail History API and Microsoft Graph Delta API to fetch only new messages incrementally. We do not read, store, or process emails unrelated to freight operations. We never send, delete, or modify your emails.
Usage data
We collect anonymous usage analytics via Google Analytics to understand how the product is used. This includes page views, session duration, and feature usage. No personally identifiable information is included in analytics data.
3. How We Use Your Information
- To provide, operate, and improve the freightOptIQ service
- To extract and structure freight data from documents you provide
- To send you daily freight brief emails (if you enable this feature)
- To respond to your support requests
- To process billing through Stripe
- To detect and prevent fraud or abuse
We do not sell your data to third parties. We do not use your freight document content for training AI models.
4. Data Storage and Security
Your data is stored on PostgreSQL databases hosted on Railway, located in the United States. We use row-level security to ensure your data is isolated from other customers. All data is transmitted over HTTPS/TLS.
Email credentials (OAuth tokens) are stored encrypted. IMAP passwords are encrypted at rest using AES-256 encryption before storage.
5. Third-Party Services
We use the following third-party services to operate freightOptIQ:
- Google OAuth / Gmail API — authentication and email scanning
- Microsoft Graph API — authentication and Outlook scanning
- OpenAI — document extraction (your document content is sent to OpenAI for processing)
- Anthropic (Claude) — email classification
- Stripe — payment processing
- SendGrid — transactional email delivery
- Railway — cloud infrastructure
- Vercel — frontend hosting
- Google Analytics — anonymous usage analytics
6. Data Retention
We retain your account data and extracted freight records for as long as your account is active. If you delete your account, we will delete your data within 30 days. You can request deletion at any time by contacting us.
7. Your Rights
You have the right to:
- Access the data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Disconnect email integrations at any time from Settings
- Export your freight records as CSV at any time

8. Cookies
We use only essential cookies required for authentication (JWT tokens stored in localStorage) and locale preferences. We do not use tracking cookies or advertising cookies.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the service after changes constitutes acceptance of the updated policy.
